Review coverage and fill staffing needs

Manager access operates the shift workflow. It does not automatically grant Discord Administrator permission or access to every business setting.

Your routine

Start with the permanent Manager Home in your private location channel. Its buttons cover normal daily work; advanced commands stay behind Help & More Actions.

  1. Review staff onboarding. Match each applicant against normal employee records before selecting Approve Staff Access.
  2. Review coverage claims. Confirm the worker, date, time, position, and workplace policy before selecting Approve or Deny.
  3. Fill unexpected shortages. Use Create Staffing Need when the business needs one or more additional people for a shift.
  4. Keep the official schedule aligned. Discord communicates the decision; your employer's scheduling or payroll system remains authoritative.

Approve staff onboarding

  1. Open the private manager channel for the requested location.
  2. Compare the Discord account, real name, location, and positions with employee records.
  3. Give extra attention to the account-age warning when it appears.
  4. If the ticket says Employee Correction, review the updated information rather than an older superseded ticket.
  5. Select Approve Staff Access only after verification; otherwise select Deny.
If a decision DM cannot be delivered, the employee can use Check My Status in onboarding. The approval itself still succeeds.

Approve or deny a claim

You can decide in two places. Both write exactly the same record, so use whichever you have open.

  1. Open the private approval ticket in the location's manager channel, or open the Manager Workspace and find the claim under Pending approvals.
  2. Verify the original worker, claimant, shift date, time, and position.
  3. Select Approve to make the coverage official, or Deny to reopen the shift for someone else.
  4. If an approved decision must be reversed, use Undo Swap on its approval record in Discord. Confirm the official schedule afterward.
Undo is only in Discord. Approving and denying work in both places, but reversing an approved swap is done on the approval record in the manager channel.

Use the Manager Workspace

The workspace is a private web page showing only the locations your exact Manager role covers. It is useful when you are away from Discord or working on a phone.

  1. Sign in at /app with Discord and choose your workplace, or open the workspace link an Administrator gave you.
  2. Review what is waiting: pending approvals, open and pending coverage counts, and active staffing batches.
  3. Approve or deny claims, post coverage for an employee, create a staffing need, or close unused openings.
  4. Your access is re-checked on every request. If your roles change, the workspace changes with them.
Direct assignment, Undo, and onboarding decisions stay in the private manager channel, because those update the original Discord records.

Create a staffing need

  1. In the manager channel, find Manager Home.
  2. Select Create Staffing Need.
  3. Choose the short-staffed position and shift time.
  4. Enter 1–20 openings, the coverage date, and an optional bonus per opening.
  5. Review each claim separately as it arrives.

The bot notifies the position role once per batch. A bonus is informational; the employer remains responsible for eligibility, payroll, and payment.

Close unused openings

  1. Select Close Remaining Openings.
  2. Choose the staffing batch that is no longer needed.
  3. Confirm that unclaimed openings close.

Covered openings stay covered. Pending claims remain available for approval or denial, so review them before considering the shortage finished.

Find decisions waiting for you

  1. In Manager Home, select Review Pending Approvals.
  2. Open one of the private links returned by the bot.
  3. Verify the employee and shift information before approving or denying.

The list includes actionable onboarding and coverage tickets only. Completed decisions and ordinary channel messages are not included.

Cancel a shift request

  1. Select Cancel Request on the open-shifts post.
  2. Enter a clear reason when using Manager or Administrator authority.
  3. Submit the form. The request is removed and the reason is saved as a permanent record in that location's private manager channel.

If the bot cannot save the required audit entry, it leaves the request open. Any related pending approval ticket is removed after a successful cancellation. An employee cancelling their own request does not need to complete the manager reason form.

Know your access

ManagerOperates onboarding, coverage, and staffing workflows.
AdministratorControls Discord server settings, roles, channels, and business setup.
Portal AccessUses approved Business Admin Portal settings; it grants neither of the roles above.

If an administrative command is not visible, ask the business Administrator rather than changing Discord permissions yourself.

Support and safe handling

Use Show My Next Step in the Help Center panel for private links to the Manager channels and guides your current access allows. Use Open Support Ticket for a bot problem and Suggest an Improvement for an idea. Replies stay in the private support channel and do not require DMs. Keep HR cases and confidential employee records in your business's approved systems, not in bot support.

Before approving: verify the person, shift, location, position, and official workplace policy. Never treat a Discord click alone as proof of employment or payroll eligibility.
